n8n Workflow Automation & API Integration
Connect the handoff. Keep the exceptions visible.
A useful integration connects a specific event to a specific action: a submitted request becomes a CRM record, an approved item updates another system, or a scheduled job gathers data for review. We scope that handoff before building the workflow.
Share the task, your tools and the outcome you need. We scope the work before quoting.
When copying between systems creates extra work
Manual handoffs make it easy to miss an update, enter a record twice or lose track of a failed transfer. A workflow needs more than a connection: it needs rules for which records qualify, how fields map, what happens when an API fails and who owns the exception.
What a first project could include
- Connect one agreed source and destination through supported APIs or connectors.
- Map fields and validate required information before writing records.
- Define duplicate handling, retries and visible error notifications.
- Document configuration, operating checks and responsibility for ongoing maintenance.
ILLUSTRATIVE PROJECT
For example, receive an approved enquiry, validate the required fields, create or update a CRM record and send failed transfers to a review queue. This is an illustrative delivery pattern; the exact flow depends on your systems and permissions.
What to bring to the first conversation
- The tools and product versions involved, plus their API availability.
- A description of the event, destination action and expected record volume.
- Rules for approval, duplicate records, failures and data retention.
Dependencies to agree up front
n8n hosting, software subscriptions, API rate limits and third-party usage costs are assessed separately. We do not assume that every system exposes an API. Access should be limited to what the workflow needs, with credentials managed in the agreed environment.
PRACTICAL QUESTIONS
Before we start.
Can you improve an existing n8n workflow?
We can assess its structure, dependencies and failure cases before proposing changes. Sharing a sanitized workflow and a description of the current problem helps define the review.
Does the integration need AI?
No. Reliable field mapping and explicit rules are often sufficient. AI is considered only for a defined task, with suitable checks and human review.
